This service is supported by webbase technology, which makes this system very powerful in network technology.

HR department employees spend much time in managing employee claims, which is typically based paper. This is an extremely expensive, error prone, time consuming and repetitive nature of the human resources management. Automation leads to savings in time, effort, and a qualitative improvement in the HR services. The end result is fast decision making, improved employee satisfaction and significant savings.

Employee self-service capabilities

Allows employees to see their personal data and to update their data. This includes the uploading of digital photos, member information, update contact details, training information and certifications, experience, profile, etc. Includes an approval work flow, the HR can review the updates before accepting the same.

Contains work flow to HR transactions related to managing:

request for leave

request for Expanses

request for open positions

request for training and seminars

benefit claim

travel authorizations

equipment confiscated

etc.

Allows employees to access corporate policy documents

Allows sliding employees in the past content view

Provides access to business directory

Provides multiple helpdesks (eg, leaving help desk, complaints desk, Travel help desk, help desk Accounts Help, etc.) to efficiently manage all staff related processes.

go to... EuClid System

The Future of HR Technology

About 8 years ago I presented a paper on what HR technology would have to support over the following 10 years ~ with great excitement I developed 5 critical areas that would be critical to HR’s survival, and to a large extent most of those did materialise (The only one that did’nt was my view that smart-card technology would play a bigger part in HR systems), nevertheless the point I am making is that the HR technology future was pretty clear back then because 10 years ago it was about optimising the operational side on HR technology. Back then Peoplesoft was the ERP system and was a leader in the field, with SAP and Oracle trailing in the dust. They eventually all caught up and are pretty much on an equal footing now. These systems as well as other great standalone HR/Payroll tools did help reposition HR to become excellent administrators (granted many system implementation were flops ~ but that’s a people issue). But with the current hype to improve HR’s value contribution to the business and reposition itself as a strategic player, I find myself contemplating the role that HR software will play in achieving this.

What will HR systems need to support over the next 8-10 years.Of course the short term (2 years) improvement areas are pretty obvious, things such as more robust Talent Management tools, improved and integrated Strategic Workforce Planning tools, integration of Enterprise 2.0 tools to facilitate networking and more sophisticated Outsourcing components off the back of your own HR software (eg. plugging your SAP system onto a payroll outsourcer payroll engine. To a large extent though, these short term improvements are really more of the same ~ all of the reputable HR systems have to some extent components of these requirements (except Web 2.0), and will continually enhance them over time to suite their customer demands. But surely there must be be something more fundamental required to support a Strategic HR department, something beyond simply saying we will provide more sophisticated reporting, (slice-and-dice , drill down etc), because these sort of things may help, but won’t make a significant change.Understanding the strategic HR department of the future, may give some insight into the tools they will need. The Strategic HR department of the future will be less focused on the administration of people (in fact I foresee that HR admin will be removed from HR departments of the future to form part of a combined HR/Finance/other call centre and shared services team) and will focus on being a measurable component of the success (or failure) of an organisation.

The CEO will want to know what % the HR department is contributing to shareholder value in a clear and unambiguous manner ~ just as he does of other departments. In order to achieve this, HR will need to become far more clear about how to measure their contributions and will definitely need a different level of sophistication in its tools to achieve this. No longer will a CEO accept that training turnout was 98%, unapproved absence was down to 2%, turnover was stable at 15% and so on, because these measures are meaningless and open to hours of useless debate about their relevance. No in future HR will need to be accountable to absolute specifics ~ The CEO will make (for example) HR accountable for 3 of the 16% growth in net profit over the next 2 years, accountable for 10% of the savings required from marginal operations and 18% for the effectiveness of the next M&A.

A few gasps of air, I hear being taken by concerned HR directors…. but here is the deal, you cannot be a strategic playing in today’s organisations without being accountable for the success (or failure) of the organisation. HR cannot be the fence sitter or referee anymore if they claim to want a strategic status.

Anyway back to the point on HRIS ~ HR will need a new set of tools that allow it to cascade a business strategy more eloquently into an HR strategy that is measurable, it goes beyond a balanced score-card, its lends itself to a new level of sophistication.

More to follow, but your thoughts are welcome.

by:

Rob Scott’s Weblog

Talking HR Strategy and HR Information Technology

NetBeans IDE 6.5 Release Information

The NetBeans IDE is an award-winning Integrated Development Environment available for Windows, Mac, Linux, and Solaris. Thus we have "business process orchestration" tools, "business process management" tools, etc. This is a pet peeve of mine since these tools often have very little to do with business processes at all. For example, some integration tool vendors suggest that orchestrating a series of web-services together into a single coarse-grained web-service somehow constitutes a "business process". Most business people would beg to differ.

Dealing with the business-IT divide

The "business-IT divide" is the much talked about disconnect between what the business needs and what IT actually delivers. The irony of this situation is that the business-IT divide is the driver for much of the current focus on business processes and yet many IT product vendors have responded in a fashion that only deepens the divide by sowing confusion over the nature of a fundamental concept: the business process.

Business and IT in most organizations are two different and often physically separate communities that communicate poorly if at all, and often seem to be speaking in different languages. Dealing with the business-IT divide starts with understanding the nature of the problem. The business-IT divide is fundamentally a "communication problem", and communication problems are solved by finding ways to communicate better.

A pre-requisite for establishing good communications is establishing a common language or vocabulary between the two communities and an agreement on what the terms in that language mean. Who gets to define the terms? When it comes to business & IT, this is not a two way exchange between equals. We (technologists) are the service providers and they (the business) are our customers. The burden is on us to understand the needs of our customers. We, at a minimum, need to learn their terminology in an effort to communicate better with them and understand their needs better. Perhaps one of the most important terms in this shared vocabulary is "business process".

A "business process" definition

A business process has absolutely nothing to do with technology whatsoever! Business processes have been around since as long as businesses have existed; long before computers or information technology were invented. And as long as businesses have been around they have sought to refine their processes to gain a competitive advantage over their rivals. For most of human history this had absolutely nothing to do with information technology.

A business process is a sequence of activities followed by individuals in a business to achieve some business goal. Often these are manual activities executed by employees who play certain roles in the business in addition to others who are external to the business: customers, business partners, etc.

These processes can be modeled at various levels of granularity in a business process modeling tool like Proforma ProVision. Typically the core elements of a business process diagram include (1) a separate swim lane for each role/person/department that participates in the process, (2) the activities that they perform and (3) directed lines between activities to indicate the order in which things are typically done.

Information technology can be used to improve the efficiency of these processes. Sometimes this involves making applications (built or purchased) available to one or more of the roles in the process to eliminate manual tasks and even roles (down-sizing). Sometimes this might even involve using workflow engines (aka business process management) technology to automate certain portions of the process. This does not change the fact that the business process itself has nothing to do with technology!

Things that are not business processes

There are at least 3 different concepts that are often referred to when "business process" is used in typical IT communications.

usiness perform tasks for the purpose of achieving a particular business goal. This is the one and only concept to which the "business process" label should be affixed. Beyond the data center this is what people in the business world think you mean when you say "business process".

The other two concepts that IT people tend to affix the business process label to are (1) workflow (a.k.a. business process management) software and (2) web-service orchestration software.

Workflows

A workflow is that portion of an otherwise manual business process which is automated via one or more workflow application(s). This typically involves (1) visually modeling workflows in a workflow modeling tool, (2) deploying modeled workflows to a workflow engine and (3) implementing a graphical user interface to initiate and invoke workflows in the workflow engine via an API exposed by the engine.

A typical application might involve, for example changing a process which required circulating paper documents to multiple individuals for manual processing to one in which the paper documents are converted to electronic form and circulated to the appropriate individuals via a workflow-based information system. People sometimes refer to the visual models of these automated process segments as "business processes". However, these almost always represent only a small portion of the real business process and are more appropriately referred to by the traditional name of "workflows". Rule of thumb: if human decision making is needed in a business process then the business process can never be completely automated.

One way to conceptualize the difference between a business process and a workflow is to think of the two different kinds of modeling tools that are used to model each, who actually uses each tool, for what purpose and what is actually done with the models produced.

Proforma’s ProVision modeling tool, for example is used by business consultants to model business processes collaboratively with business executives for the purpose of facilitating business discussions on topics like value-chain analysis and/or to run activity-based costing simulations and ultimately to make business decisions. The models are typically at a high level of abstraction and are not intended to be converted into applications. However, that the Process Driven Development (PDD) approach to software development does in fact refine high level process models of this sort to a more fine grained level where process roles (swim lanes) can be mapped to UML actors and process activities to be automated can be mapped to UML use-cases whereby traditional use-case driven development techniques can be utilized to design the appropriate software application.

Workflow modeling tools are used by software engineers for the purpose of generating concrete implementation constructs (source code, xml, database entries) that are then deployed to a workflow engine to support real applications. Visually modeling the workflows involves things like extracting information from scanned documents or user input, processing it (via invoking web-services or other kinds of services), storing information in workflow variables, adding/removing tasks from queues, sending notifications to other users, etc.

Proforma labels their modeling tool as a "Business Process Analysis" (BPA) tool and the later as a "Business Process Management" (BPM) tool.

Web-service orchestrations

Using web-service orchestration products typically involves modeling the implementation of an Enterprise Service Bus (ESB) based web-service in an Integrated Development Environment (IDE). The orchestrated service invokes one or more other web-services from potentially multiple service providers in a coordinated fashion. In so doing a single coarse-grained web-service is offered to service requestors relieving them of the burden of having to invoke multiple fine-grained web-services themselves.

A range of ESB products are available with a spectrum of capabilities for web-service orchestration. In general, a modeling tool is used to specify how the orchestration is to be implemented and this executable model is deployed to the ESB which serves as its run-time engine.

In the simplest ESB products approaches like itinerary based routing are used wherein an xml file is used to list the services that should be invoked from service providers in a sequential fashion when a particular ESB-based service is invoked by a service requestor.

Some ESB products support more complex options for orchestrating services. They might allow you to specify, for example, that certain sequences of service invocations should be done in parallel. The modeling tool would allow you to specify where the sequences should branch and aggregate. They might also allow you to specify that a sequence of invocations might halt and wait for an event - possibly user input - at certain stages in the sequence. When this level of complexity is reached, the orchestrations begin to look a lot like traditional workflows and might be expressed in the Business Process Execution Language (BPEL) wherein the initial service that was invoked by the service requestor might be something like "startWorkflow()".

Even if they do begin to resemble workflows, coarse-grained orchestrated web-services should not be referred to as business processes. In a sense they do orchestrate distributed "computing processes" insofar as they invoke different web-services from different service providers utilizing the computing resources (process, memory, disk, etc.) of distributed hardware. However, web-services are purely IT constructs and have nothing to do with the business. These things should be referred to as web-services, composite services, orchestrated services, etc. but by no means should they be referred to as "business processes".

EuClid System ERP - Material Management

Materials Management, one of the most important business processes of a company, to play a major role in reducing costs, efficiency and enhance customer satisfaction.

EuClid System Materials, is a combination of specific materials business processes provided by EuClid System ERP.

Right of the needs assessment materials to make them available at the right time and cost analysis of consumption/ usage patterns, EuClid System provides all materials.

Develop Inventory Master, Withdrawals online Consolidation purchase requisitions, online price comparison, the different types of purchase orders, Material Handling Complete receipt and rejection of the cycle are some of the main features of EuClid System Materials.

Reporting EuClid System covers Inventory Level reports online, real-time positions of stock, price efficiency, vendor analysis. While many traditional ERP vendors sold the promise of free upgrades, in reality hardly any businesses were able to take advantage of them because they had spent large sums of money customizing the software for their industry and thus had voided their support contract. But easy upgrades aren't just a sales pitch with Compiere ERP. Compiere was built to make customizations and extensions simple without impacting the migration process. No longer does an ERP system need to remain static, as if frozen in time. Now you really can keep up with all the latest product features without sacrificing your custom extensions.

Is a "single instance" of ERP software better?

Although every business is unique, running only one instance of an ERP application provides several advantages. When running a single instance of ERP software, you save time and have better quality information across the company because you need only input that information once rather then multiple times. Running a single ERP instance also means all your financial data resides in one place which creates a simpler audit trail, eliminates consolidation errors, and saves time and money when closing your books. A single ERP instance also allows you to run comprehensive company-wide reports that allow executives to share resources more easily across the company and see where cross-promotional opportunities may be in order. Single ERP instances are generally less expensive to support, and migration to the newest Compiere ERP software release is quicker and easier, allowing you to take advantage of the latest features we have to offer in a timely manner.

How do companies organize their ERP projects?

There are three common approaches to installing a new ERP system in an enterprise:

Enterprise-wide full installation - This approach was very common in the early days of enterprise resource planning software installations as, at the time, many large corporations were trying to quickly become Y2K compliant. The biggest challenge usually encountered was getting employees to cooperate and accept a new software system. If you are leaning towards this method of installation, make the transition easier by clearly outlining the ways that the new ERP software will be an improvement over existing software. Provide training for your employees to increase their comfort level with the new system. If your top level staff members are solidly behind the new ERP system and you take the time to help transition your staff to the change, you will go a long way towards helping your company achieve a successful ERP installation.

Unit by Unit - This is common approach among large or diverse companies where there are not many common processes across business units. Management will locate a particularly open-minded and flexible team and install a pilot ERP system in that department. Some process that don't vary much across the company, such as financials, bookkeeping, and HR may be installed across the entire enterprise, but the pilot department has it's own separate ERP system and database, or "instance". Once the company feels comfortable with the success of the installation, the pilot team is used as an in-house customer reference to sell other units on the ERP business solution. This process can be somewhat time consuming, but does often lead to increased employee acceptance of the new ERP application as they hear testimonials from peers on the benefits of the new system. More departments may be added over time with their own discreet instances of the ERP application, or the company may try to consolidate them into a handful of different instances or perhaps even into a single ERP instance for the entire enterprise.

Key-Process Installation - Smaller companies often opt to focus on a few key processes for their initial ERP installation. For instance, they may decide to start out using the ERP application's financial module and add other features as the company grows. Since Compiere provides companies a fully integrated ERP system rather than requiring a company to purchase separate modules, it's easy for a company to add additional processes as the company desires new functionality. Traditional ERP software often caused problems down the road for this type of installation since they required choices to be made at the time of the initial installation that could not easily be changed at a later date. You won't face that problem with Compiere ERP software. Compiere is designed to change with your company now and in the future. Be aware, though, that an ERP implementation isn't really successful until it is in use by employees. You must still expect to devote some time and energy to training employees on new features as they are implemented.

How long will do ERP implementations take?

The actual installation of Compiere ERP software can be done in a day or two by experienced IT staff. However, keep in mind that implementation of any ERP solution also includes importing old data from various sources into the new system, the integration and testing of the ERP system with existing corporate software, the training of employees on the use of the new system, and the completion of any enterprise-specific customizations. Enterprises also usually find it worthwhile to take time at the beginning of the ERP implementation process to review their current business practices, seeing where they can be streamlined now that they are no longer be 'locked into' a specific business flow with a restrictive software package. The whole process traditionally takes several months to a year depending on the size and complexity of your business.

Compiere's flexibility makes the ERP installation process much easier than a similar installation with traditional ERP applications because, unlike other enterprise applications, with Compiere the decisions you make today can be changed tomorrow. All of the information provided during implementation can be adapted or modified at any time to meet the changing needs and demands of your company. Other ERP systems don't allow these on-the-fly changes. The result is that with these traditional ERP applications, changing anything - whether something complex, like your chart of accounts or even something as simple as a product search key - can require expensive and time consuming modifications or even complete product reinstallations.

What are the costs associated with ERP implementation?

Compiere's commercial open source ERP software frees you from the burden of the initial product licensing fees that accompany all traditional ERP applications. Instead, use your budget to create a successful ERP implementation for your particular enterprise. Rather than paying software fees, you may decide to have a Compiere Partner create an industry specific feature, or you may have a large staff that could benefit from training on your new system. You may also find that years of working with multiple incompatible data sources has left you with "dirty data" that needs to be cleaned up prior to importation in the new ERP system. Perhaps you've decided that now is the time to upgrade some of your servers or workstations. However you decide to use the money you've saved, you can feel confident that Compiere provides you the best enterprise resource planning business solution at the lowest total cost of ownership.

Can ERP applications help with my integration problems?

One of the reasons businesses look into ERP applications is that their enterprise is experiencing difficulty in integrating the information they have stored in widely diverse applications that can't "talk" to one another. Organizations within a company may even use different programs to perform the same functions. When you install an ERP application you solve many of your information integration problems. Compiere ERP is an integrated Enterprise Resource Planning (ERP) and Customer Relations Management (CRM) software solution that combines the power of point of sales (POS), distribution and inventory, e-commerce, accounting, and workflow systems within one robust application. With an ERP system you have better data quality, since information need only be entered once to be available to the entire company. You are also able to easily run reports using enterprise-wide data, allowing you to quickly see trends developing within specific organizations or across your entire company. If you require industry specific software that requires integration with your ERP system you may wish to speak with one of our Compiere Partners worldwide for assistance.

Can I use an ERP system to manage a global enterprise?

Compiere's enterprise resource planning software is an excellent solution for managing a global enterprise.
